Privacy policy

This policy explains what personal information Trent Valley Motors Ltd ("we", "us") collects when you use this website or deal with us, how we use it, and what rights you have. We are the data controller for this information.

What we collect

• Enquiry details. When you submit a form we collect your name, email address, phone number (if given), the message you write, and which vehicle you were looking at.
• Part exchange and finance details. If you ask for a valuation or a finance check, we also collect details about your current vehicle, and in the case of finance, information about your employment and income.
• Technical data. Our hosting provider (Cloudflare) processes your IP address and basic request information in order to serve the site and protect it from abuse.

How we use it

• To reply to your enquiry and arrange viewings, test drives or valuations.
• To prepare finance applications with our panel of lenders, where you have asked us to.
• To meet our legal obligations, including record-keeping required for vehicle sales.
• To keep the website secure and working properly.

Our lawful basis is normally either your consent (which you give when you submit a form), or our legitimate interest in responding to people who contact us about buying or selling a car. For finance applications the basis is the performance of steps taken at your request prior to entering a contract.

Who we share it with

We do not sell your data. We share it only where necessary:

• Finance lenders and brokers, where you have asked us to arrange finance.
• Our IT and hosting providers, who process data on our instructions.
• The DVLA and other authorities, where the law requires it.

How long we keep it

Enquiries that don't lead to a sale are kept for up to 24 months so we can pick up the conversation if you come back to us. Records relating to an actual vehicle sale are kept for six years, as required for tax and consumer-protection purposes. You can ask us to delete your data sooner — see below.

Cookies

This site does not use advertising or tracking cookies. We set a single cookie only for staff logging into the admin area, which is strictly necessary and does not require consent. Embedded maps are served by OpenStreetMap and web fonts by Google Fonts; those providers may log your IP address when the resources load.

Your rights

Under UK GDPR you have the right to access the personal data we hold about you, to have it corrected or deleted, to restrict or object to how we use it, and to receive a copy in a portable format. Where we rely on consent, you can withdraw it at any time.
